Custom integrations

Connect payments, CRMs and APIs. We connect your website or store to the systems your business runs on, so orders, leads, stock and customer details move on their own instead of being typed in twice.

  • Error handling
  • Security
  • Testing

Sound familiar?

  • Someone copies orders or leads from the website into another system every day.
  • Stock levels on the website do not match the warehouse or accounting system.
  • A plugin connects the two systems but misses fields, fails quietly or duplicates records.
  • The payment gateway or carrier you need has no ready-made connector.

Who it helps

  • Online stores

Orders, stock, shipping labels and invoices kept in step with your other systems.

  • Service businesses

Enquiries and bookings sent straight to your CRM, calendar and email tools.

  • Teams with their own software

Your website connected to an internal system or API your developers built.

What is included

  • Mapping Which data goes where, in which direction and when, agreed and written down
  • Connection Built with the service's official API, a trusted plugin or custom code
  • Error handling Failed syncs retried, logged and reported to a person, never lost silently
  • Security Keys stored safely, with only the access each connection needs
  • Testing Real scenarios tested on staging, including refunds, edits and failures
  • Documentation A short guide to what runs, when, and what to do if a service changes

Not included

What an integration actually does

An integration moves data between two systems automatically: a new order becomes an invoice in your accounting software, a form entry becomes a contact in your CRM, a paid entry triggers a branded email and a text message. The work is less about the connection itself than about the rules around it: which system is the source of truth, what happens when a record changes, and what happens when a service is down.

Built to fail safely

Every service has outages and changes its API from time to time. We build connections that retry, log what happened and alert a person when something needs attention, so a missed sync is noticed and fixed rather than discovered weeks later in a report.

Where we have done this

For APEX Outdoor Rewards we connected three WooCommerce challenge sites to Twilio for text messages and SendGrid for email, sent hunters’ videos from their phones straight to Amazon S3 through signed upload links, and kept one account in step across all APEX sites through the WordPress REST API.

How it works

  1. Free call

We look at the systems involved and the manual work you want to remove.

From you: A list of the tools and who uses them.
  2. Mapping and quote

A data map and a fixed quote.

From you: API access or developer documentation for each system.
  3. Build on staging

The connection is built against test accounts or sandboxes where the services offer them.

    From you: Test data.
  4. Test and launch

Scenarios tested end to end, then switched on and watched.

  5. Keep it running

Optional monitoring, and updates when a service changes its API.

What affects the price

Every project gets a fixed quote after a free call, so you know the total before anything starts. These are the things that move it.

  • Number of systems and types of data
  • One-way or two-way sync
  • Quality of each service's API and documentation
  • Number of records and how quickly they must sync
  • Existing data to move between systems

Three hunting and fishing challenge platforms on one system

Challenge
APEX runs cash-reward challenges for whitetail, turkey and fishing, state by state. Every entry is scored differently, proven on video from a phone and checked by a marshal before it counts.
Result
Whitetail, Turkey and Fishing run on one system, across 35, 40 and 48 states, so a change made once reaches every site.

Fixing the inFlow and WooCommerce integration so orders go through

Challenge
inFlow, the store's inventory system, would not take orders from WooCommerce: product data was not properly matched between the two, and product attributes had issues.
Result
The integration was fixed, so inFlow takes the store's orders.

Questions about custom integrations.

Can you connect a system that has no plugin?

Usually, yes, if the system has an API or can import and export files. We check its documentation before quoting.

Which systems do you connect?

Common ones are payment gateways, CRMs such as HubSpot or Salesforce, accounting tools, shipping carriers, email and SMS services such as SendGrid and Twilio, and custom APIs. If it has a documented API, we can usually connect it.

What happens if a connected service changes?

The connection logs the errors and alerts a person. On a support plan we update the integration when a service changes its API.

Do you use Zapier or custom code?

Whatever fits. Tools such as Zapier or n8n are quick for simple flows; custom code is better for high volumes, complex rules or sensitive data. We explain the trade-off in the quote.

Is our customer data safe?

Keys are stored securely, each connection gets only the access it needs, and data travels over encrypted connections.
